The Parts Counterperson is a key support role within the Hutch Auto Group Parts Department, serving as the primary link between parts inventory and the technicians, service advisors, and retail customers who depend on it. This position requires product knowledge, attention to detail, and a customer-focused approach to keep repair orders moving and customers satisfied. Performance in this role directly impacts service department efficiency, parts gross profit, and customer satisfaction.

Compensation$11 per hour plus incentive based on gross profit performance.
Purpose StatementServe as the primary point of contact for parts sales and fulfillment, supporting retail customers, technicians, and service advisors. This role requires product knowledge, accuracy, and a customer-first approach, ensuring parts are correctly identified, ordered, and delivered on time to keep repair orders moving while contributing to parts department revenue and gross profit.
Key Responsibilities
  • Assist retail, wholesale, and internal service department customers in selecting the correct parts; inform customers of companion parts and current specials
  • Answer phone calls promptly, providing accurate price quotes and parts availability
  • Pull, fill, and stage orders accurately from stock, tagging parts with customer name and repair order number for pick-up
  • Review service repair order estimates to verify the correct parts are ordered and pricing matches the estimate
  • Manage stock needs: notify the Parts Manager of shortages, source out-of-stock parts from outside vendors, and place emergency orders when necessary
  • Notify the Service Advisor and customer when special-ordered parts arrive; track back-ordered parts and verify will-call files weekly
  • Replenish assigned inventory daily and assist with periodic cycle counts
  • Process customer transactions accurately, including payment or credit authorization, signed charge sales, invoice copies, and parts returns/credits
  • Ensure internal parts requests are billed to the correct repair order; issue and track shop tools loaned to technicians
  • Maintain organized, accurate records of repair orders, invoices, and special-order parts; support lost sales tracking as needed
  • Assist outside sales representatives with order fulfillment; keep the counter area and equipment clean and organized
  • Participate in training programs, stay current on products across Hutch Auto Group, and maintain a professional appearance at all times
  • Other duties as assigned by the Parts Manager
Performance Expectations
  • Maintain parts fill rate and order accuracy at or above dealership targets
  • Support monthly parts department sales and gross profit goals
  • Ensure repair orders are not delayed due to parts availability or paperwork errors
  • Keep back-order and will-call files current and reviewed weekly
  • Maintain accurate, audit-ready records of invoices, credits, and special orders
  • Contribute to a clean, safe, and well-organized parts department
  • Support consistent parts processes across Hutch Auto Group
Required Skills
  • Strong product knowledge of automotive parts and accessories, or the ability to learn quickly
  • Customer service orientation with both retail and internal service department customers
  • Clear phone and in-person communication skills
  • Organization and attention to detail in order fulfillment, billing, and recordkeeping
  • Basic math skills, including the ability to calculate discounts, percentages, and totals
  • Ability to multitask in a fast-paced counter environment
  • Proficiency with, or willingness to learn, the dealership's parts and inventory management system
  • Teamwork and coordination with technicians, service advisors, and the Parts Manager
Qualifications
  • High school diploma or GED preferred; equivalent combination of education and experience considered
  • Prior parts counter, retail, or automotive experience preferred but not required; dealership will train the right candidate
  • Familiarity with automotive parts, part numbers, or dealership management systems (DMS) a plus
  • Valid driver's license with acceptable driving record preferred
  • Ability to work efficiently in a high-volume, fast-paced dealership environment
  • Professional appearance and attitude required at all times
Physical RequirementsThis role requires regular standing, walking, bending, and lifting throughout the parts department and dealership facility. The Parts Counterperson must be able to stand, walk, reach, and lift parts and materials throughout the work day, including occasional lifting of up to 50 pounds.
